Vacation Bible School

Camper registration, volunteers and check-in for the summer program.

  • VBS team

Vacation Bible School brings in many children, many volunteers and a lot of paperwork in a short time. Antiphona handles the sign-up and the check-in, so the team can run the week.

The Vacation Bible School page with English and Spanish sessions, three ways to sign up, and the Garcia family's two paid camper registrations.
Families pick a session, sign up campers or volunteers, and follow every registration in one place.

What families can do

  • Pick the English or the Spanish session.
  • Register campers in six steps: session, camper, details, extras, review and payment.
  • Add extras such as a T-shirt, and use a discount code.
  • Join a waitlist when a session is full.
  • Sign up as an adult volunteer. A teen applies with a link that a parent can share.
  • See each registration, the family code and the payment status.
The review step of VBS registration lists Mateo Garcia with the $60.00 camper fee, a T-shirt and a water bottle, and a total of $80.00.
Parents register a child, add shirts and extras, and see the full total before they pay.

At the door

A volunteer checks children in and out at a kiosk. They search by name or family code, or scan a QR code. A red Allergy flag shows next to a camper who has one, and a lost badge is easy to replace.

The check-in kiosk on a tablet shows a search for Garcia with two campers: Sofia already checked in, and Mateo with an allergy flag and a Check In button.
Volunteers find a camper by name or code, see allergy flags, and check children in with one tap.

What the team can do

  • Set capacity for each grade, for childcare and for adult volunteers.
  • Watch the registered, reserved and waitlisted counts change.
  • Review teen volunteer applications by stage.
  • Keep attendance, stations, merchandise and messages for the event in one admin panel.
The VBS staff capacity screen shows childcare levels, camper grades K to 6 and adult volunteers as bars that are green with room, amber when nearly full and red when full, with projected sign-ups in blue.
Staff watch every grade fill up, see projected sign-ups, and change a limit in one click.
